Pre-order customers pay days or weeks before they get the item. What makes them confident enough to pay isn't a discount, it's clarity: when orders close, how much the deposit is, roughly when the item arrives, and what happens if it's late or never comes. A pre-order message that answers all of that cuts repeat questions and after-sale problems.

Who to send to

Send to customers who messaged you in the last 24 hours, picking the label for people who've pre-ordered with you before, e.g. “Pre-ordered before”. They know the process and decide fast. For trending or imported products, add the group labeled “Asked pre-order-[product name]” before you open orders.

When to send

Send once you've confirmed the cost and production batch with your supplier. Don't send while the price isn't settled. Send a second round 1 day before closing to people who asked but haven't paid. Leave enough time between the message and the closing date for customers to prepare the deposit; if the window is too short, customers waiting for payday will miss out.

Pre-order launches: tips that get results

  • Write “arriving around” plus a date instead of promising one exact day. Pre-orders can slip for reasons outside your control, like the manufacturer or international shipping.
  • Put the deposit refund conditions in the launch message. If you only mention them later when there's a delay, customers will feel you changed the rules.
  • Move customers who've paid from the “Asked pre-order” label to “Deposit paid” from day one, so the closing reminder only reaches people who haven't paid.
  • A pre-order launch is a sales message, so it can only go out within 24 hours after the customer messages you. But once they've ordered, progress updates on a pre-order that takes weeks can go through an approved utility template, as long as there's no sales content.
  • If the product comes in several colors or sizes, ask for all the details in one reply, e.g. “pre-order black M x1”. It keeps your supplier order totals accurate.

Before you send

FAQ: Pre-order launches

A pre-order is delayed. Can I message customers who paid their deposit weeks ago?
A delivery delay notice is about their order, not a sale. If the customer hasn't messaged within 24 hours, send it through an approved utility template, and don't add promotions or invitations to buy other products in the same message. If the customer replies, you can continue the conversation as normal within that 24-hour window.
How much deposit should I take for pre-orders?
There's no standard figure. It depends on how much you have to pay the supplier upfront and the risk of customers abandoning the item. Shops that must pay the supplier first often set the deposit to cover that cost. More important than the number is stating clearly when the deposit is refundable, and what happens to it if the customer doesn't pay the balance.
Pre-orders are closed but people still message to reserve. Should I open another round?
If you can still add to the supplier order in time, take their names first, then open a new round with a clear arrival date for that round. Don't squeeze latecomers into the original round unless you're sure there's enough stock, because the customers who paid on time would be affected.
